There are four steps you can take to become an active listener:
• Prepare for listening: To listen carefully to other team members, you need to eliminate as many distractions as possible. Situate yourself so that you can make clear eye contact. Doing so will enable you to focus on the message.
• Focus on main points: As you listen, you should mentally organize the information you are receiving by focusing on the main points. If you pay too much attention to the details, you can miss the main idea. Creating associations, analogies, and metaphors can help you organize and remember the information. You might also want to take notes to help you remember the information.
• Convey understanding: When listening, you should convey that you understand the speaker's points and emotions. For example, if a team member seems frustrated while talking, you could say, "You seem frustrated about…." This kind of comment will give your team member an opportunity to clear up any confusion and let them know you are listening.
• Paraphrase: Paraphrasing is an excellent technique you can use to prevent yourself from becoming bored or distracted and to ensure understanding. After a team member finishes speaking, you can state in your own words what you heard them say. Paraphrasing provides the opportunity to clear up verbal and nonverbal miscommunications. In addition, it makes paying attention easier because it involves you actively in the process.
